Why Office Relocations Go Wrong
The most common cause of office relocation failure is not the move itself - it is the gap between signing the new lease and having a functional workspace. The average commercial office renovation takes 3-6 months. If your new lease starts before your space is ready, you pay double rent. One business owner on a construction forum calculated their 3-month delay at $180,000 in lost revenue and overlapping lease payments - more than the renovation itself.
The second most common failure is hiring separate vendors for furniture deinstallation, transport, storage, and reinstallation. When four companies each own 25% of your project, nobody owns the timeline. Gaps between vendors - the movers delivered but the installers are booked next week - create downtime that compounds daily.
Weeks 1-3: Pre-Move Planning
Start by conducting a complete inventory of what you are moving, what you are replacing, and what you are leaving behind. This inventory drives every downstream decision - storage requirements, truck counts, installation timelines, and disposal costs.
Get your new lease's Tenant Improvement Allowance defined in writing: what it covers, what it excludes, and when it expires. Most TIAs do not cover furniture, technology, or moving costs. Budget those separately.
Hire your installation vendor before your construction contractor. The installer needs to review floor plans, confirm furniture compatibility with the new space, and identify potential conflicts (column locations, electrical outlet placement, HVAC vent interference) before construction begins - not after.
Weeks 4-8: Construction and Preparation
If your new space requires construction (drywall, electrical, plumbing), this phase typically runs 4-8 weeks for a standard office. During this time, your installation vendor should be finalizing furniture layouts, ordering any new components, and scheduling the installation sequence.
Critical coordination point: electrical outlet and data drop locations must match furniture layouts exactly. A workstation designed for a 6-outlet floor box does not work with wall outlets 8 feet away. Your installer and electrician need to review layouts together before rough-in begins.
If you are using modular walls instead of drywall, this phase shortens significantly - modular walls install after construction is complete, in days rather than weeks.
Weeks 9-11: Installation and Move
The installation sequence matters: modular walls first (they define room boundaries), then millwork (reception desks, built-ins), then furniture (workstations, seating, conference tables), then technology (monitors, docking stations, phones). Each trade must complete before the next begins in that zone.
A single vendor handling walls, millwork, and furniture eliminates the scheduling gaps that plague multi-vendor moves. When your wall installer finishes on Thursday and your furniture installer cannot start until next Wednesday, you lose five days. When one team handles both, the furniture crew starts Friday morning.
Schedule your IT team to install technology the day after furniture installation completes - not the same day. Furniture crews need clear floors to position workstations accurately.
Week 12: Punch List and Handoff
Every installation generates a punch list - items that need adjustment, correction, or completion. The average commercial project has 50-150 punch list items. The difference between a good installer and a bad one is not whether punch list items exist - they always do - but how quickly they get resolved.
Before signing off on your installation, walk every workstation, test every drawer, sit in every chair, verify every monitor arm, and confirm every power connection. Document issues with photos and locations. A good installer resolves punch list items within 1-2 weeks. A bad one takes months - or disappears entirely.
48% of building owners report difficulty getting contractors to return for warranty work. Choose an installer who includes punch list resolution in their contract scope, not as a separate billable service.
